What to Check Before Sending a Fax

Small details that prevent failed transmissions, wrong numbers, and avoidable delays.

Faxing is simple when the details are right. Most problems come from preventable issues: wrong numbers, unreadable scans, missing signatures, or pages uploaded in the wrong order.

Check the fax number

Confirm the full number, including area code. If the recipient gave you a department-specific fax number, use that instead of the main office line.

Review every page

Open the file before uploading it. Make sure each page is upright, readable, and complete. If you are sending photos, crop out the background and make sure the document fills the frame.

Look for required signatures

A perfectly delivered fax can still be rejected if a required signature or date is missing. Review the form instructions before sending.

Use a reachable email address

Your email is where confirmation and status updates go. Use an address you can access now, not a throwaway inbox you might miss.
